A WhatsApp appointment reminder works when it does one job: get a confirm, or get the slot back in time to fill it. A message that only says “see you tomorrow” is polite and useless if they were never going to come.
Clinics, dentists, salons, and gyms lose the same hour. The booking was made in chat. Nobody asked again. The chair, the room, or the trial slot sits empty.
What to send, and when
Two messages cover almost every local business:
- The day before. Time, place, and who they will see. Two replies: confirm, or cancel.
- The morning of, if the visit is easy to forget or expensive to miss. One line, same two replies.
Send the day-before note in the early evening, when people still look at their phone and can rearrange. A reminder at 6am is easy to miss and too late for someone else to take the slot.
If the conversation window is still open, this can be a normal message. If it has been more than 24 hours since they last wrote, WhatsApp expects an approved template. That is a reason to use the WhatsApp Business API, not the phone app alone.
What to do with a cancel
The cancel is the valuable event. Mark the slot free, then message the next person who asked to be told about openings. Offer that exact time. If they say yes, book it and stop. If they say no, ask the next name.
Do this in the same thread the original booking used, so the front desk is not copying times between apps. Dentists, clinics, and salons all run this pattern. The words change. The rule does not.
What not to put in the reminder
Leave out clinical detail, prices they have not agreed, and a paragraph of instructions. The reminder is a yes or a no. Directions and “what to bring” can be one extra line if people regularly arrive unprepared. They should not bury the confirm button.
Do not message people who never booked and never asked to hear from you. A reminder list is not a broadcast list.
How the desk should see it
Each booking needs four fields: who, what, when, and whether the reminder was sent. When they confirm, the status changes. When they cancel, the slot becomes offerable. If that record only lives inside WhatsApp, the next person on shift will miss it. Write it to the calendar and, if you run the day from a sheet, to that sheet as well.
Questions about appointment reminders
When should a WhatsApp appointment reminder be sent?+
Send one the day before, and a shorter one the morning of the visit if the slot is easy to lose. Include the time and a way to confirm or cancel in the same chat.
What should the reminder ask the customer to do?+
Confirm or release the slot. A reminder that only says “see you tomorrow” does not free the chair or the clinic room when they cannot come.
Can a cancelled WhatsApp slot be offered to someone else?+
Yes. Keep a short waitlist of people who asked to be told about openings, and offer the freed time in WhatsApp as soon as the cancellation arrives.
Send reminders that free the slot
Confirm, cancel, and the waitlist offer can run on the number you already use.
